VII. 📌 How to Extract Business Card Data and Import to Zoho CRM

Step 1: Extract Contact Information

  1. Take a clear picture of the business card(s).
  2. Upload the image to ChatGPT and ask it to extract the following details:
    • First Name
    • Last Name
    • Salutation (Mr., Ms., Mrs., Dr. Etc)
    • Account: City, State, Country
    • Mobile Number
    • Email Address

Step 2: Export to Excel

  1. Ask ChatGPT to generate an Excel file from the extracted data.
  2. Download the Excel file once it’s ready.

Step 3: Prepare for Import in Zoho CRM

  1. Open the Excel file and add two columns:
    • Account Name → (e.g., “SPiCE Attendees 2025 Bangkok” or any relevant grouping)
    • Parent Account → (if applicable, for hierarchy in company structures)
  2. Make sure each contact is assigned an Account Name and Parent Account if applicable (mandatory for Account-based grouping in Zoho CRM).

Step 4: Import Data to Zoho CRM

  1. Log into your Zoho CRM account.
  2. Navigate to the “Contacts” module.
  3. Click the “+” button > Choose “Import Contacts”.
  4. Upload the Excel file and follow the instructions:
    • Use the field mapping screen to match Excel columns with Zoho fields.
    • Ensure Account Name and Parent Account fields are correctly matched.
  5. Complete the import process. Zoho CRM will display a summary and confirmation once the import is successful.

Tags categorization

For contact tagging on which you met them, Zoho can tag each contact. For example, if you go to the “Bangkok 2025 SPiCE” Account and open a contact, you should see a tag like BangkokSPiCEAttendee. To set this up:

Step 1: Prepare Your Excel/CSV File

  • In your spreadsheet/Excel, include a column titled “Tags”.
  • In the cells under “Tags”, you can enter:
    • A single tag
    • Or multiple tags, comma-separated
    • Existing example: BangkokSPiCEAttendee, ChicagoNLC2025

Step 2: Start the Import

  1. Go to the “Contacts” module in Zoho CRM.
  2. Click the “+” button > “Import Contacts”.
  3. Upload your Excel or CSV file.
  4. Proceed to the field mapping step.

Step 3: Map the “Tags” Field

  • In the mapping interface, map your spreadsheet’s Tags column to Zoho CRM’s Tags field.
  • Zoho will automatically apply the tags to each contact based on what’s in that cell.

Step 4: Complete the Import

  • Finish the import process.
  • Once done, the contacts will show up with the specified tags applied — you can view and filter by these tags in the Contacts module.

✅ Notes

  • For individual contacts, you may also repeat this process in the “Contacts” module, linking each contact to their relevant Account.
  • Make sure to remove any duplicates or empty rows before importing.
  • If you're working in a shared CRM environment, notify the team once your data is imported to avoid overlap.
