I. Food

  • Chassuon Aux Pommes
  • Nasi Gureng with Vegetables and Meat or Miso Soup, Seaweed and cut fruit watermelon, apples, oranges
  • Shop if necessary
    • Fresh milk
    • Bintang
    • Fuji Apples
  • Make Quesadillas and Salsa and/or guacamole

II. Home Maintenance

  • Update on electric bills
    • Read meter
    • Pay if necessary, request money
  • Cleaning
    • Garbage collection, with plastic bags in each can
    • Ensure tall garbage bags are in stock — buy from Ace Hardware or Hypermart. Prepare enough for one month (around 30 bags). Reorder when running low.
    • In bathroom
      • Washcloth
      • 4 towels
      • 2 liquid soap, 1 shampoo, 1 conditioner full
      • 2 nice hand towels and washcloths in bathroom and shower each day; also place 2 in the kitchen.
  • Beds made in each bedroom
  • Floors clean in each bedroom
  • If first day
    • Counters and everything clean
    • Windows

III. Paper Supplies

  • 5 rolls of paper towels in the kitchen -> reorder if you are low
  • 2 rolls of toilet paper in each bathroom, with 10 spare rolls

General Instructions:

  • Client-Specific Information: Refer to Airbnb records for guest details such as name, phone number, and dates of stay.

I. Communication

  • Call or Text: First thing every day, contact the guest to ensure everything is okay. This includes weekends. If unavailable, arrange for a substitute.
  • Guest Requests: Ask guests if they need any recommendations or assistance.
  • Daily Reporting: Send updates, photos, and videos before and after check-in/check-out to the WhatsApp group (Wanda and Nick).

II. Guest Welcome

  • Welcome Note: Place a handwritten note in English in the guest’s room: “Welcome to our Villa. Please call me if you need anything, Ayu. +62 857-3873-9706.”
  • Greeting Basket: Prepare a fruit basket and place a greeting card in it.

III. Daily Food and Beverage Preparation

  • Food & Drink: Ensure the following are stocked daily:
    • Coffee pod, Pastry
    • Bintang (4 bottles)
    • Fruit
    • Water tanks (at least 4 full and ready)

IV. Home Maintenance

  • Electricity: Update on electric bills. Read the meter and pay if necessary. Request money if needed.
  • Cleaning: Ensure the house is cleaned daily, including:
    • Garbage Collection: Bags in all cans. Check supply of tall garbage bags — purchase at Ace Hardware or Hypermart. Stock at least 30 bags/month. Reorder when low.
    • Bathrooms:
      • Washcloths, 4 towels per guest.
      • 2 liquid soaps, 1 shampoo, and 1 conditioner, all full.
      • 2 nice hand towels and washcloths in bathroom and shower each day; also place 2 in the kitchen.
    • Bedrooms: Beds made and floors cleaned.
    • Floors & Surfaces: Clean counters, floors, and windows.
    • Candles by Pool: Light them for evening arrivals.

V. Supplies Check

    • Bathrooms: 2 rolls of toilet paper per bathroom, with 10 spare rolls. Replenish as needed.

VI. Electronics and House Inspection

  • Pre-Check-In & Post-Check-Out: Check all electronics (appliances, air conditioning, etc.). Ensure everything works properly and take photos/videos before and after guest stays.

VII. Laundry

  • Towels & Bed Sheets: Wash dirty towels and bed sheets after check-out. Ensure clean linens are provided for the next guest.

VIII. Additional Duties

  • Housekeeper Management: Coordinate with the cleaner for timely cleaning before check-in and after check-out. Supervise and ensure the cleaning is thorough.

Procedures

Updating Daily Tasks (Zoho Tasks)

  • Login: Access Zoho Tasks and open the “Daily Tasks” board.
  • Review: Check all existing tasks for status updates. Mark completed tasks accordingly.
  • Temporary File Creation: For new or modified items, create a temporary update file (.txt or .docx) with brief notes and photos if needed.
  • Approval Workflow: Upload the temporary file to Zoho for manager approval before making final changes.
  • Final Update: After approval, update the main task list and archive the temporary file in the “Approved Updates” folder.
  • Consistency: Follow this workflow daily to ensure proper recordkeeping, transparency, and version control.
