I. Communication
Call or Text: First thing every day, contact the guest to ensure everything is okay. This includes weekends. If unavailable, arrange for a substitute.
Guest Requests: Ask guests if they need any recommendations or assistance.
Daily Reporting: Send updates, photos, and videos before and after check-in/check-out to the WhatsApp group (Wanda and Nick).
II. Guest Welcome
Welcome Note: Place a handwritten note in English in the guest’s room: “Welcome to our Villa. Please call me if you need anything, Ayu. +62 857-3873-9706.”
Greeting Basket: Prepare a fruit basket and place a greeting card in it.
III. Daily Food and Beverage Preparation
Food & Drink: Ensure the following are stocked daily:
Coffee pod, Pastry
Bintang (4 bottles)
Fruit
Water tanks (at least 4 full and ready)
IV. Home Maintenance
Electricity: Update on electric bills. Read the meter and pay if necessary. Request money if needed.
Cleaning: Ensure the house is cleaned daily, including:
Garbage Collection: Bags in all cans. Check supply of tall garbage bags — purchase at Ace Hardware or Hypermart. Stock at least 30 bags/month. Reorder when low.
Bathrooms:

Housekeeper Management: Coordinate with the cleaner for timely cleaning before check-in and after check-out. Supervise and ensure the cleaning is thorough.

Updating Daily Tasks (Zoho Tasks)
Login: Access Zoho Tasks and open the “Daily Tasks” board.
Review: Check all existing tasks for status updates. Mark completed tasks accordingly.
Temporary File Creation: For new or modified items, create a temporary update file (.txt or .docx) with brief notes and photos if needed.
Approval Workflow: Upload the temporary file to Zoho for manager approval before making final changes.
Final Update: After approval, update the main task list and archive the temporary file in the “Approved Updates” folder.
Consistency: Follow this workflow daily to ensure proper recordkeeping, transparency, and version control.
